The role of the Administrator is to work alongside our Team Leader(s) and Paraplanner(s) to ensure the appropriate end to end management of the client lifecycle using the PFS agreed policies, processes and Intelligent Office system.
The Administrator reports to the Client Support Manager.

Job Responsibilities
- Acts as key point of contact for clients; organising and dealing with correspondence via telephone, email or letter
- Responsible for the timely creation and ongoing update of accurate client records, both personal/fact find details and investment details within Intelligent Office. Ensures house-keeping activities on client data are allocated and prioritised including support from the Team Leader(s) and Paraplanner(s) when required
- Ensures that all process steps are recorded using standalone tasks and purpose-built workflows within IO (e.g. new client, client review, new instruction, client on & off-boarding), providing an audit trail of activities and the ability to delegate workload to other administrators with relevant background details when required
- Acts as main point of contact between providers and Team Leader(s) in the transfer, set up and administration of investments and policies on behalf of clients. This includes dealing with letters of authority, processing new applications, following up with ongoing transactions, resolving issues etc. Ensures that the client is kept informed on progress and is notified when transactions are completed
- Ensures that client fees and commission (initial, ongoing and ad-hoc) are set up and maintained correctly in IO
- Ensuring that all client communications and documentation are scanned and filed in a timely manner to ensure compliance with PFS file checking processes
- Supports the Team Leader(s) and Paraplanner(s) in maintaining up to date client records to ensure compliance with Anti-Money Laundering / Know Your Client, GDPR and other statutory/regulatory rules. Ensures details and supporting documents are recorded in Intelligent Office.
Ideal Candidate
- Industry qualifications: CISI/CII CF1/R01-6 (preferred but not essential)
- Eagerness to continue personal development
- A minimum of 1 years industry experience (2 years preferred)
- Excellent administrative and communication skills
- Ability to manage workload and prioritise client requests/queries
- Strong attention to detail

Overview
The role of the Paraplanner is to work alongside and provide knowledgeable and technical support to our Adviser(s) to ensure the appropriate end to end management of the client lifecycle using the PFS agreed policies, processes and toolset.
The Paraplanner reports to the Adviser(s) and the Client Support Manager.
- Location: Central Brighton
- Full Time Permanent
- Hybrid working with 3 days in office (flexibility depending on experience)
Job Responsibilities
- Technical knowledge of products and procedures as well as law. Ability to work with defined business processes, for example
- Participates in weekly meeting to organise and prioritise workload. Organises regular touch points during the week to ensure that activities and deliverables are carried out to plan and within deadlines
- Works with the Adviser(s) to ensure that client reports (suitability reports, annual review reports, meeting notes, portfolio report) are generated from Intelligent Office/Genovo using the standard templates where appropriate; and producing/updating/writing more technical reports as required
- Supports the Adviser(s) in utilising other agreed toolsets to provide data for client identification for example lifestyle planning via cashflow analysis, risk reports, investment analysis etc.
- Conducting research required to support advice from Adviser(s) including all relevant analysis, technical product research, producing illustrations etc.
- Liaising with Compliance Teams, and completing any remedial work required to allow the Adviser(s) to proceed with the business
- Provides support for the Client Support Manager in defining and carrying out organisational projects and initiatives
- Completion of mandatory/regulatory training to given deadlines
Ideal Candidate
- Industry qualifications: CISI/CII Level 4/DipPP, J09, J10, CF1/R01-6
- Eagerness to progress to Chartered Financial Planner status (preferred)
- A minimum of 4 years relevant industry experience
- Excellent administrative, research, report writing and communication skills
- Excellent analytical skills with a preference for working in a structured, planned manner
- Maintained suitable CPD level and desire to continue progression
